Client Onboarding & Document Production Executive – Preston

Full Time (working hours to be agreed) – Preston Office

A dual role working within our centralised teams; Client Onboarding and Document Production.   You will provide vital support across the business, ensuring all the Firm’s files are opened accurately and efficiently together with gathering the appropriate identification inline with stipulated regulations. You will be responsible for the accurate and timely production of documents and dictations, for all Departments/areas of law across the Firm.

You will be meticulous and have a positive approach, providing a first class provision to all across the Firm, ensuring client care is at the forefront of what you do.

Your role within the Document Production Team will include:-

  • Accurate and timely transcription of legal documentation from digitally-dictated material;
  • Processing of documents from typed and handwritten formats;
  • Downloading and reformatting of documents to conform with firm’s house style;
  • Maintaining client files (both hard and soft copies) in a tidy and logical order including prompt filing of documents;
  • Ensuring accurate inputting of all data onto the relevant case management system;
  • Liaising with internal teams to garner support for team actions as required;
  • Record keeping;
  • Ensuring internal procedures are complied with;

Your role within the Client Onboarding Team will include:-

  • Liaising with clients in a courteous and helpful manner;
  • Accurately following AML and ID guidance, policies and procedures;
  • Obtaining all identification required in line with strict guidance to ensure that both internal and external procedures and requirements are met and adhered to;
  • Assuming key role within the Firm to enhance client service, efficiencies and ensuring the acquisition of clients for life;
  • Liaising with the Risk and Compliance team on any issues relating to client ID, escalating matters where required;
  • Proactively chasing clients in order to progressing matters confidently;
  • Handling client queries and advising on services offered, where asked;
  • Opening all of the Firms’ files, creating each matter appropriately within the Firms’ case management system promptly;
  • Proactively progress our files to ensure they are opened correctly and in good time for the legal teams.
  • Delivering introductory client documentation;
  • Record keeping;
  • Ensuring internal procedures are applied and followed;
  • Follow individual departmental SLAs so far as they impact the Client On Boarding Team;
  • Ensuring accurate inputting of all data onto the relevant case management system;

Skills & Competencies required

  • Committed team player with excellent organisation skills with a flexible attitude;
  • Excellent interpersonal and communication skills including clear and polite telephone manner;
  • Excellent telephone manner;
  • Effective prioritisation and time management skills;
  • Proven experience of operating at this level previously;
  • Minimum typing speed of 70 WPM;
  • Minimum accuracy of 98%;
  • Excellent organisational, administrative and IT skills (Microsoft office products);
  • Detail-orientated approach to work;
  • Use of initiative to produce quality documents by correctly interpreting the fee earners’ requirements;
  • Ability to work under pressure and meet deadlines whilst maintaining a high standard of accuracy and attention to detail;
  • Proven experience of working with a case management system;
  • Confident in using the Firms’ IT, Case Management and telephone systems in order to complete tasks;
  • Word Processing qualifications to RSA level 2/3 (or equivalent) (desirable);
  • Experience of digital dictation systems to a competent level (desirable);
  • Knowledge and use of ‘Track Changes’ (desirable).
